The Utrecht University Orientation (hereafter “Orientation”) strives to ensure that the personal details of participants, volunteers and other visitors are treated and protected with the greatest possible care. The Orientation therefore also complies with the requirements of the Dutch Personal Data Protection Act and other privacy legislation. The responsible party for data processing is Utrecht University, Postbus 80.125, 3508 TC Utrecht, The Netherlands.
Processing of personal data
The Orientation records personal data in the context of its services. This is the case when you register as a volunteer or participant in the Orientation. The Orientation uses this data for its services and internal business operations. This includes contact details and data to better serve you during the Orientation, for example whether or not you are vegetarian.
The data you provide will be stored on secure servers both inside and outside of the Utrecht University corporate environment, and only accessed by those within the Orientation team. Your data will remain within the EU.
Access and correction of your data
The Orientation offers you the possibility to view your data as well as to change it at your personal (profile) page. You can also request by e-mail firstname.lastname@example.org to view your data. If the information is incorrect, you can have it adjusted.
Anonymous analysis of participants
Anonymous personal data will be used for an analysis of the participants of the Orientation. This will, for example, concern the male / female ratio and the number of participants from the different faculties.
General visitor information is kept on the websites of the Orientation, without identifying the visitors. The purpose of this is to optimize the layout of the website. This data can also be used to put more targeted information on the website. In this way the Orientation can further optimize its services to you.
Orientation and other websites
On the Orientation sites you will find a number of hyperlinks to other websites. However, the Orientation cannot bear any responsibility with regard to the way in which those parties handle your data. For this, read the privacy statement, if any, of the site that you visit.
Personal data that you provide will be retained only for the duration of the Orientation, and will be deleted from our database. Backups and archives of website data, emails, and contact events will be held in accordance with the backup and retention policies of the UU and our suppliers.
You will be offered the opportunity to sign up to receive update emails after the event, if you agree to this you will be provided with further information about how your data will be processed at the point of registering.

The Orientation can decide to make video and/or audio recordings (such as, but not exclusively, (video)photography and drone images) of the event and its visitors. These recordings can be made public or reproduced. The participant gives unconditional permission to make these recordings and to exploit them without the Orientation or third parties owing a fee to the visitors. Any neighboring rights and/or copyrights and/or portrait rights are transferred by the visitor to the organization without any restriction. Furthermore, the visitor irrevocably waives the right to invoke his/her personality rights. Images and photos can be deleted on written request to the contact details as given above.
